Shared Office Space as a Notary: Is Working From Home Not All It’s Cracked Up To Be?

Many notaries prefer to have a home office. But for those that don’t have the space or have other distractions that make it challenging (kids, pets, spouses, noise, etc.) a shared office space is an excellent option.

Many people feel more productive in an office setting, simply because of the lack of distractions. Many shared office users report that “being at work” causes them to focus and get more done, similar to if they were in a regular office with co-workers. Plus, we all know the ways we tend to procrastinate work when we have distractions–even if those distractions are self-made.

We had one notary report that she finally got a workspace outside of her house because she would create projects when she was supposed to be working. She did admit to having the cleanest house on the block with every drawer and closet completely organized, but that wasn’t a great environment for her to get work done.

Another reason notaries consider shared office spaces is to create a higher level of professionalism. Oftentimes, shared office spaces provide an address with mail service. Some even provide a receptionist that will take phone messages and physically greet clients. Depending on your budget and needs, a shared office space might be something to consider.

What is shared office space?

Shared office space can vary depending on your location and budget. It can be as simple as a larger office that is divided into cubicles. And it can be as elaborate as a high-rise where you have a private office with a mail service and receptionist.

Some spaces will have shared kitchen, office centers (with printers, office supplies, etc), as well as conference rooms that you can rent. It really depends on where you live, what is available, and your budget. A shared office set up is convenient for many notaries because you get a professional look at a reasonable price. The alternative of renting your own office space is usually cost prohibitive for most notaries.

Benefits of shared office space

If you agree with any of the following statements, you should look into renting shared office spaces in your area.

  • I don’t have enough physical space at home to have an office where I can be productive.
  • I am easily distracted by my family, pets, and things in my home.
  • I don’t feel like I have enough privacy and separation in my home.
  • I don’t feel truly productive when I work from my home. I often create projects for myself to avoid work and sometimes I even find myself sitting
  • on the sofa negotiating “just one more” episode of my favorite show.
  • I would like to get out of my home and feel like I’m “going to work”.
  • I want to have a more professional presence for my business.
  • It would be great to have a place where clients could come for signings if they prefer I don’t come to their home or office.
  • I can afford a shared office and feel like it will be a good investment for my business.

Things to consider in a shared office space

Since you answered yes to almost every question above (we know you did), it might be time to explore what’s available. Talk to friends or other notaries for recommendations and then perform a Google search to see what’s out there. Once you see what’s offered in your area, you’ll be able to make a decision to fit your needs.

Consider these questions when looking at shared office space:

  • Will I have enough privacy?
  • Does the office provide extras? These can be things like a kitchen, office center, conference room. And do I need to pay to have access to these spaces?
  • Is the office located in an area where I feel safe?
  • Is the building itself secure?
  • Is the office located in an area where I feel comfortable having clients meet me?
  • Is there a lease or long term commitment? Will they let me test it out for a month or two to see if it’s the right fit?
  • What kind of other businesses would you be sharing the office with?
  • Does the office have the right vibe for me and my business?
  • Does the office offer a mail service and a receptionist?
  • What is the parking situation?
  • What are the hours? Can I come in and work any time?
  • Does this office help my business by making me look more professional?
  • Can I comfortably afford the monthly rent?

A space to call your own

Well, there you have it. We all love the idea of being our own boss and working from home, but sometimes to be truly productive, you have to be open to adjustments.
